*XMediusFax Retention is 90 days. After this period of retention, faxes will be permanently deleted from XMediusFax servers.

Prepare Paper Document for Faxing

If a document is not available electronically, please follow instructions for scanning the document to a Network Folder from your MFD..

  • From the Multi-Function Printer/Scanner (MFD)
    • Place the original in the document feeder or on document glass
    • Touch the {Scan} or {Image Send} key
    • Touch the {Address Book} Key
    • Touch the one-touch key of the desired Network Folder
    • Make any other necessary changes required on the image settings screen (ie: original page setup, resolution, etc)
    • Press the {Start} button to scan the document to the network folder
    • Once the document has been stored on the network, you will be able to upload the document through the XMediusFax web interface for secure fax transmission.

Note: If your MFD is not configured to scan to a network folder, please contact IT Help Desk at help@moravian.edu to have this set up.

Sending a Fax

  • Log into XMediusFAX web interface: https://login.xmedius.com/moraviancollege
  • Click XM Fax on the upper left corner
  • Click Compose Fax
    • Name, Company, and Fax Number
      • Fax Number format: Example, enter 1-202-555-1234 as 12025551234
    • If you need to add more than one recipient, click the More recipients button. A new section appears to the right of the Recipients fields.

  • Enter the recipient's information in the information fields then click Add when done.
  • Repeat this operation for every fax recipient.
  • If you need to modify the information of a recipient already in the list:
    • Select a recipient in the list and click Edit.  Note: If the fields already contain information, clicking Edit will erase this information.
    • The information of the selected recipient appears in the corresponding fields on the left and the recipient disappears from the list.
    • Modify the information in the fields and click Add to validate. The modified recipient appears again in the list.
  • If you need to delete a recipient from the list, select a recipient then click Remove.
  • Cover Sheet: Default Cover Sheet “Moravian_University_Fax_Cover.cse” should be selected
  • Subject: This will appear on the cover sheet
  • Comment: This will appear on the cover sheet

 Adding One or More Attachments to a Fax

  • Click Browse and select a file to upload to the fax.
    • If you need to add more than one attachment, click the More attachments button. A new section below the Browse field opens.

    • Click Browse and choose the file you wish to upload to the fax then click Add.
    • Repeat this operation for every fax attachment.
    • Use the Move Up and Move Down buttons to modify the order of the attachments.
    • If you need to delete an attachment from the list, select an attachment then click Remove.
    • Submit the fax

  • After the fax is submitted to a new recipient,  you will be prompted to add the recipient to the contacts list.  Default is unchecked.
    • Check the box if you would like them added to the contacts list for future transmissions, and click OK.

Manage Contacts and Send Fax from Contact List

  • Login to the Web interface and click the Fax Contacts link located at the top of the page.

To send a fax directly from the Fax Contacts

  • Check the box next to the contact(s), click the Send Fax button
  • The compose fax page will appear, and you will see the contact in the recipient List
  • Complete the remaining necessary fields under Cover Sheet and Attachments as described above, and click Submit

Sent Fax Confirmation

  • You will  receive an email notification with the status of the sent fax (Successful or Failure)

  •  You can view all sent Faxes from the Outbound History folder from the web interface

 

Receiving Faxes

  • You will receive an email notification from XMedius Cloud that a fax has arrived

 

  • Click the XMediusFax Cloud link to login and view/download the fax to a secure location
    • Save the file to a secure network location (ie: ante).
